What Licensing model does Urban Turtle (UT) use? My company already uses TFS for agile and have all the CALs, etc. for VS 2010 / TFS server and what not.
We plan to use UT to allow the PMs to host scrums on a large plasma for all projects on the go.
The devs / testers wouldn't interact with UT but would continue to add / edit tasks, etc. via VS2010. Only the PMs would actually access UT to drag tasks around and view the iteration summaries, etc.
Does this mean we'd only need one license per PM?

So it sounds like anyone who browses to a planning board or task board will be counted as a licensed user, right? We have people in our company (e.g. management) who aren't really users but may browse to one of the boards. What is the solution to this? Should we lock them out of the project so this doesn't happen. Also, what to do about it when this happens? How can we retract someone usage of Urban Turtle after the fact? Is there a way to delete this on the server?

You are right, this how the licensing works. It is rather hard for us to determine who are "really users" and who aren't. We do not provide a way to retract usage from Urban Turtle as this would be a quick way to circumvent licensing. However, we do not want to be too prohibitive, this is why we only display an information message when the limit has been reached. Also, individual user connections are retained for a week. So we basically count the number of users who have accessed either board during the last 7 days.

Would it be right for me to understand your answer as UT allows for a "user" to be repleaced with another after a period of 7 days ?
Or if I give you an direct question - How can I provide UT to our users if we have TFS servers with about 200 users each week ?
Do I need to purchace 200 licenses to enable it, just to get one team to use it ? if not, how can we secure that the users using UT actually paying for an UT licens ? Can we add licenses as the number increases ?
I managed several TFS servers for clients with 100+ users and have the same question/problem at each client. -

You must purchase a license for every users accessing Urban Turtle. The 7 days rule is only a way for us to track the users and give you a possibility to give a license to another person when someone leaves the company.
In your example, you would need 200 licenses.
And yes, you can add licenses when the number of users increases.

At my company we have around 100 TFS users, but probably only about 20 of them are responsible for planning activities and would be using Urban Turtle. In that scenario, I believe I would only need 20 licenses and I would need to train the other 80 users to never click the Urban Turtle tabs in TFS Web Access, correct?

Yes, for now it's the only way. We are thinking of a way to handle this using TFS security group.

I've been seeing "maximum number of users exceeded" and then suddenly my tabs shut off. is this related to this issue? By the way, i only had 4 users using Turtle and should not have been exceeded.

Urban Turtle only displays the "maximum number of users exceeded" when more than the number of users allowed by your license use the products in the last 7 days. Urban Turtle is not rendered unusable because of this, the tabs disappearing is unrelated to the licensing.
